This topic explains how Term Store Administrators can use the Term Store Management Tool to create and manage new groups. It also explains how to create new term sets within those groups.<\/p>\n<p><strong>Creating and Configuring a New Group<\/strong><\/p>\n<p>Groups define security boundaries. A group is a set of term sets that all share common security requirements. Only users who are designated as <span style=\"text-decoration: underline;\">Contributors<\/span> to a specific group can manage term sets that belong to the group or create new term sets within it. Organizations should create unique groups for term sets that will have unique access or security requirements.<\/p>\n<p><!--more--><span style=\"text-decoration: underline;\">To create a new term set group, you must be a Term Store Administrator<\/span>:<\/p>\n<p>1. On <strong>the Site Actions<\/strong> menu, select &#8220;<strong>Site Settings<\/strong>.&#8221;<\/p>\n<p>2. Under <strong>Site Administration<\/strong>, select the &#8220;Term store management&#8221; button.<\/p>\n<p>3. In the <strong>Properties<\/strong> pane, under <strong>Available Service Applications<\/strong>, select the &#8220;<strong>Managed Metadata Service<\/strong>&#8221; application that you want to see in the tree view.<\/p>\n<p>4. Point to this service, click the arrow that appears and then click<strong> <\/strong>the &#8220;<strong>New Group<\/strong>&#8221; button.<\/p>\n<p>5. Type a name for your new group and then press the &#8220;<strong>ENTER<\/strong>&#8221; button.<\/p>\n<p>6. In the <strong>Properties<\/strong> pane, type a description for the group.<\/p>\n<p>7. In the <strong>Group Managers<\/strong> box, type the names of the people you want to add.<\/p>\n<p><strong><span style=\"text-decoration: underline;\">Note<\/span><\/strong>: You can also click the <strong>Browse<\/strong> button to find and add users.<\/p>\n<p>8. In the <strong>Contributors<\/strong> box, type the names of people you want to add.<\/p>\n<p><strong><span style=\"text-decoration: underline;\">Note<\/span><\/strong>: You can also click the <strong>Browse<\/strong> button to find and add users.<\/p>\n<p>9. Click the &#8220;<strong>Save<\/strong>&#8221; button.<\/p>\n<p><strong>Creating and Configuring a New Term Set<\/strong><\/p>\n<p>A term set is a group of related terms.<\/p>\n<p><span style=\"text-decoration: underline;\">Depending on where a term set is created, its scope can be either local or global<\/span>:<\/p>\n<p><strong>Local Term Sets<\/strong> &#8211; are created within the context of a site collection and are available for use (and visible) only to users of that site collection. For example, if you add a managed metadata column to a list or library and create a new term set for this column, then the term set is local to the site collection that contains this list or library.<\/p>\n<p><strong>Global Term Sets<\/strong> &#8211; are available for use across all sites that subscribe to a specific Managed Metadata Service application.<\/p>\n<p><strong>Closed and Open Term Sets<\/strong> &#8211; Term sets can be configured to be closed, which means that users cannot add new terms to them when they are entering a value for a column that is mapped to the term set. Or they can be configured to be open, which means that users can add new terms to the term set when they are updating the value for a column that is mapped to the term set (if the column itself is also configured to allow fill-in choices).<\/p>\n<p>To create a new term set in a group in the Term Store Management Tool, you must be a <span style=\"text-decoration: underline;\">Contributor<\/span>, <span style=\"text-decoration: underline;\">Group Manager<\/span>, or <span style=\"text-decoration: underline;\">Term Store Administrator<\/span>. The following procedure explains how to create a term set manually. If you want to import a term set, which may be the more practical way to create a term set that contains a large number of terms, then you can also import a term set.<\/p>\n<p>1. On the <strong>Site Actions<\/strong> menu, select &#8220;<strong>Site Settings<\/strong>.&#8221;<\/p>\n<p>2. Under <strong>Site Administration<\/strong>, click <strong>Term store management<\/strong>.<\/p>\n<p>3. In the <strong>Properties<\/strong> pane, under <strong>Available Service Applications<\/strong>, select the &#8220;<strong>Managed Metadata Service<\/strong>&#8221; application that you want to see in the tree view.<\/p>\n<p>4. In the tree view pane on the left, point to the group under which you want to create a new term set.<\/p>\n<p>5. Type a name for the new term set and then press the &#8220;<strong>ENTER<\/strong>&#8221; button.<\/p>\n<p>7. In the <strong>Properties<\/strong> pane, type a description for the new term set to help users understand its intended use.<\/p>\n<p>8. Specify an individual or group as an owner for the term set.<\/p>\n<p><strong><span style=\"text-decoration: underline;\">Note<\/span><\/strong>: If you want the owner to be someone other than you. You can also click the <strong>Browse<\/strong> button to find and add users. There can be only one individual or group designated as owner.<\/p>\n<p>9. In the <strong>Contact<\/strong> box, type an e-mail address for term suggestions and feedback.<\/p>\n<p><strong><span style=\"text-decoration: underline;\">Note<\/span><\/strong>: This is optional. If you provide an e-mail address, then site users can see and use the <strong>Send<\/strong> <strong>Feedback<\/strong> link in the term picker when they update the values for Managed Metadata columns mapped to this term set.<\/p>\n<p>10. In the <strong>Stakeholders<\/strong> box, enter the names or groups of people who should be notified before major changes are made to this term set.<\/p>\n<p>11. In the <strong>Submission<\/strong> <strong>Policy<\/strong> section, specify whether you want the term set to be <span style=\"text-decoration: underline;\">Closed<\/span> or <span style=\"text-decoration: underline;\">Open<\/span>.<\/p>\n<p><strong><span style=\"text-decoration: underline;\">Note<\/span><\/strong>: If you want the term set to be updated only by those people who have permission to update managed metadata, select <span style=\"text-decoration: underline;\">Closed<\/span>. If you want all users to be able to add new terms to the term set when they update the value for Managed Metadata columns mapped to this term set, then select <span style=\"text-decoration: underline;\">Open<\/span>.<\/p>\n<p>12. In the <strong>Available for Tagging<\/strong> section, select the check box if you want this term set to be available for use. <strong><span style=\"text-decoration: underline;\">Note<\/span><\/strong>: If the check box is cleared, then this term set will not be visible to most users.<\/p>\n<p>13. Click the &#8220;<strong>Save<\/strong>&#8221; button.<\/p>\n<p>After you create your term set, you can add terms to it.<\/p>\n<p><strong>Copying, Reusing, Moving, or Deleting a Term Set<\/strong><\/p>\n<p>If you are a Term Store Administrator, a Group Manager, or a Contributor for a specific group, then you can create or reuse terms within a term set, as well as copy, move, or delete a selected term set.<\/p>\n<p><a href=\"http:\/\/www.BoostSolutions.com\/blog\/wp-content\/uploads\/2012\/07\/PIC2How-to-Create-Configure-and-Manage-Groups-and-Term-Sets-in-Managed-Metadata.jpg\" target=\"_blank\" rel=\"noopener noreferrer\"><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-4440\" title=\"PIC2How to Create, Configure, and Manage Groups and Term Sets in Managed Metadata\" src=\"http:\/\/www.BoostSolutions.com\/blog\/wp-content\/uploads\/2012\/07\/PIC2How-to-Create-Configure-and-Manage-Groups-and-Term-Sets-in-Managed-Metadata.jpg\" alt=\"\" width=\"244\" height=\"256\" \/><\/a><\/p>\n<p><a href=\"http:\/\/www.BoostSolutions.com\/blog\/wp-content\/uploads\/2012\/07\/PIC2How-to-Create-Configure-and-Manage-Groups-and-Term-Sets-in-Managed-Metadata.jpg\" target=\"_blank\" rel=\"noopener noreferrer\"><\/a>1. Go to the site where you want to update a term set (if you are updating a local term set).<\/p>\n<p>2. On the <strong>Site Actions<\/strong> menu, select &#8220;<strong>Site Settings<\/strong>.&#8221;<\/p>\n<p>3. Under <strong>Site Administration<\/strong>, select &#8220;<strong>Term Store Management<\/strong>.&#8221;<\/p>\n<p>4. In the <strong>Properties<\/strong> pane, under <strong>Available Service Applications<\/strong>, select the Managed Metadata Service application that you want to see in the tree view.<\/p>\n<p>5. In the tree view pane on the left, expand the groups to find the term set that you want.<\/p>\n<p>6. Click <strong>Copy   Term Set<\/strong>.<\/p>\n<p>2. Click <strong>OK<\/strong> when you are asked if you want to proceed.<\/p>\n<p>3. In the <strong>Properties<\/strong> pane, make any updates that you want to the properties for the term set, and   then click <strong>Save<\/strong>.<\/td>\n<td width=\"282\" valign=\"top\">Copying a term set makes a new term set within the   same group that includes reused versions of the terms within the term set.<\/td>\n<\/tr>\n<tr>\n<td width=\"96\" valign=\"top\"><strong>Reuse terms   in the term set<\/strong><\/td>\n<td width=\"282\" valign=\"top\">1. Click <strong>Reuse   Terms<\/strong>.<\/p>\n<p>2. In the <strong>Term   Reuse<\/strong> dialog box, browse to the location of the term you want to use.<\/p>\n<p>3. Select the term, and then click <strong>OK<\/strong>.<\/td>\n<td width=\"282\" valign=\"top\">The term you select for reuse will be added to the   selected term set. The reuse action applies only to the term itself, and not   to any nested child terms.<\/td>\n<\/tr>\n<tr>\n<td width=\"96\" valign=\"top\"><strong>Move a term   set to another group<\/strong><\/td>\n<td width=\"282\" valign=\"top\">1. Click <strong>Move   Term Set<\/strong>.<\/p>\n<p>2. In the <strong>Term   Set Move<\/strong> dialog box, select the group to which you want to move the term   set.<\/p>\n<p>3. Click <strong>OK<\/strong>.<\/td>\n<td width=\"282\" valign=\"top\">When you move a term set from one group to another,   it will inherit user roles and permissions from its new group.
